Transfer Parts

Understanding Parts Transfer

Once product requests are approved, warehouse staff transfer parts to the requesting location or technician.

Step 1: Access Product Request

Navigate to pending request:

  1. Go to Product Requests tab
  2. Find request (PR-2024-0567)
  3. Status shows “Approved”
  4. Click to open

Step 2: Click Transfer Parts

Initiate transfer process:

  1. Click Transfer Parts button
  2. Transfer screen opens
  3. Shows requested items

Transfer Details Display:

Request: PR-2024-0567

From: Central Warehouse

To: Van-1234 (John Smith)

Priority: High

Needed By: 07/16/2024 8:00 AM

Step 3: Choose Items to Transfer

Select items and quantities:

Transfer Selection Screen

Requested Item          | Requested | Available | Transfer Qty

Partial Transfers:

  • Can transfer partial quantities
  • Note reason for partial
  • System tracks remaining need

Step 4: Save/Transfer

Complete initial transfer:

  1. Verify quantities
  2. Add transfer notes:
    • “Shipping via overnight”
    • “Fragile items included”
  3. Click Save/Transfer
  4. System creates freight record

What Happens:

  • Inventory decremented from source
  • Freight record created
  • Status: “In Transit”
  • Notifications sent

Step 5: Edit Freight Record

Add shipping details:

  1. Freight record opens automatically
  2. Click Edit
  3. Add shipping information:

Shipping Details

  • Carrier: FedEx
  • Tracking Number: 1234567890
  • Tracking URL: https://fedex.com/track?1234567890
  • Ship Date: 07/15/2024
  • Expected Delivery: 07/16/2024 by 10:00 AM
  • Shipping Cost: $25.00

Step 6: Mark as Shipped

Confirm shipment:

  1. After physical handoff to carrier
  2. Click Mark as Shipped
  3. Status updates to “Shipped”
  4. Tracking info sent to technician

Automated Actions:

  • Email to technician with tracking
  • SMS notification available
  • Updates visible in mobile app
  • Expected delivery shown
